How do I add someone to my team?
Three steps, and the middle one is easy to miss because nothing prompts you for it. You invite them, then they sign in once, and only then can you give them a seat. Their name will not appear in the Seats panel until they have signed in, so if you invite someone and immediately go looking for them there, they will not be there yet. That is expected, not a failed invite.
Before you start
- You must be an owner or admin of the organisation. Members do not get the team button in the top bar.
- You need their GitHub username, not their email address. codus signs everyone in through GitHub, so the username is how we recognise them.
- You need a free seat. If every seat you pay for is already taken, you will need to buy more before step 3 will work.
Step 1: Invite them
- Go to app.trycodus.com and sign in.
- Click team in the top bar. If you cannot see it, you are not an admin.
- Scroll to Pending invitations near the bottom.
- Type their GitHub username, for example
octocat. This is not their email. - Choose their role from the dropdown: member, admin, or owner. Member is right for most people. Admin lets them manage the team.
- Click invite.
Their GitHub username appears in the pending list as @username, with the role you chose and their GitHub picture. Their real name does not appear, because codus does not know it yet.
Step 2: Tell them to sign in
Nothing is emailed to them. No invitation is sent, and they are not notified in any way. You have to tell them yourself.
Ask them to go to app.trycodus.com and sign in with GitHub, using the exact account you invited. When they do, they join your organisation automatically with the role you picked, and the invitation disappears from the pending list.
Until they have done this, you cannot give them a seat. Seats can only be given to people who have actually joined, so their name will not be in the Seats panel before their first sign-in. This is the step people miss, and the symptom is going to Seats, not finding them, and assuming something went wrong.
Step 3: Give them a seat
- Still on the team page, find the Seats panel.
- Find them in the list. They only appear here once they have signed in.
- Click Assign seat next to their name.
It takes effect immediately.
How do I know it worked?
A green seated badge appears next to their name, and the counter at the top of the Seats panel goes up, for example from 2 / 5 used to 3 / 5 used. They can now download and run codus.
What it costs
Assigning a seat you already pay for is free. You are simply handing out something already on your plan.
Buying more seats costs money, and you do that on the billing page. If the seat counter is red and the Assign buttons are greyed out, every seat is taken and the page will point you to add seats.
Capability packs such as SEO, Video and Support are separate from seats, cost extra per person, and are switched on individually from the same Seats panel.
Common problems
They are not in the Seats panel. They have not signed in yet. See step 2. Only people who have joined can be given a seat.
I cannot see the team button. You are a member, not an owner or admin. If you go to the team page by address, it will tell you the same thing and suggest asking an owner to change your role.
I typed their email and it was rejected. Use their GitHub username instead. It is the name in their GitHub profile address, so for github.com/octocat the username is octocat.
I invited them and nothing is happening. Check the spelling against their GitHub profile. A username that does not exist is accepted without complaint and simply never matches anyone, so nothing will happen no matter how long you wait.
They cannot download codus. They joined but do not have a seat. Go back and do step 3.
All my seats are taken. Either buy more seats on the billing page, or take a seat back from someone who is not using codus. Revoking a seat switches off any paid packs they had within about a minute, and they will not be able to download codus again.
A note on admin
Admin lets someone manage the team: inviting people, and handing out seats and packs. It does not give them access to billing. The plan, the payment method and the number of seats stay with whoever bought the subscription.
